Executive Assistant (Personal Assistant to the Director)
The Lama Dorje Foundation is seeking a bilingual Executive Assistant to support our Director and Lama Dorje with daily operations, travel planning, communications, and scheduling logistics. You’ll work closely with our leadership team—including Lama Dorje—and play a key role in helping the organization run smoothly.
This role is ideal for someone who:
- Communicates clearly, kindly, and punctually in both English and Spanish
- Can manage multiple priorities without getting overwhelmed
- Is both a self-starter and an excellent collaborator
- Is energized by supporting others and contributing to a peaceful mission
- Thrives in a fast-paced, purpose-driven environment
- Can check messages at least once a day, and be very clear when you can fulfill task requests. (For example if you are busy today you can clearly state I will get to this at 1pm tomorrow)
- We’re looking for someone organized, adaptable, and detail-oriented—with the initiative to take ownership, while also knowing when to ask questions.
Key Responsibilities: Tasks will evolve as the organization grows, but may include:
- Attending to Lama’s often spontaneous requests
- Coordinating timelines and deliverables with team members and external partners
- Booking and managing travel logistics (Airbnb, flights, transportation)
- Multi-faceted scheduling for Lama and Carolina between events, projects, and meetings
- Delegating tasks to team members and following up to ensure completion
- Conducting research (venues, vendors, Dharma resources, supplies)
- Managing small payments, orders, and online purchases
- Writing and reviewing documents
- Overseeing password systems and basic account management
- Coordinating or screening email communications
- Vetting new contacts or collaborators
- Using Monday.com and Slack (or learning it quickly) to manage and track tasks

Desired skills
- Spanish and English fluency (spoken and written)
- Strong organizational and communication skills
- Project management experience or interest (Monday.com preferred)
- Tech comfort (Google Drive, Slack, email, light scheduling tools, etc.)
- Reliable internet access and availability during Costa Rica’s time zone
